DutiesPreparing for a successful Cupcake Event between now and the end of February 2019 
The Event Chair plays an important role in ensuring a smooth and successful event. Your excellent people skills will be needed to develop and maintain relationships with staff, volunteers, sponsors and members of the community, whereas your extensive project management skills will enable you to plan and oversee the event from start to finish.  
 Set goals 
 Create budget 
 Approve any expenses in consultation with ED and Fundraising Coordinator 
 Establish theme  
 Create project plan and time line 
 Set communication plan and time line 
 Create committee organization chart 
 Establish Team Leads within committee structure 
 Establish roles and responsibilities for each position 
 Solicit team members: skill based selection if possible 
 Chair committee meetings – Prepare and send agenda to committee prior to meeting 
 Track project plan and action Items  
 Submit weekly updates to Fundraising Coordinator 
 Set-up and tear-down 
 Oversee all aspects of event  
 Provide briefing for volunteers 
 Make on-site changes as required 
 Thank team at the end of the event/day 
 Solicit feedback from committee 
 Prepare budget vs actual report 
 Create Executive Summary  
 Thank you / acknowledgements to all who contributed 
 Host wrap up meeting / thank you to Organizing Committee
